Accounting and compliance

We keep your books, file your tax returns and get your tills onto ZIMRA's FDMS.

What you can ask us for

  • Bookkeeping and monthly accounts

Send us your bank statements, invoices and till reports each month. We record every transaction, reconcile it to the bank and send you a profit and loss and a balance sheet, with a short note on anything that needs your attention.

  • Tax returns and QPDs

We prepare and file your VAT, PAYE and NSSA returns, work out the provisional tax due on each QPD, and file your annual income tax return. Before each due date we send you the amount to pay.

  • ITF263 tax clearance

Without a valid ITF263, 30% withholding tax comes off what customers pay you for goods and services, and you can't bid for tenders. We file the returns that are behind, fix the fiscalisation side, and tell you what else ZIMRA needs before it will issue one.

  • Getting your tills onto FDMS

ZIMRA accepts a hardware device from an approved supplier or a virtual device that connects through its API, and we recommend the one that fits your tills and invoicing system. For a virtual device, we take it through ZIMRA's test environment and register it on the live system once ZIMRA approves the sample invoices. For hardware, we work alongside the supplier you buy from.

  • Receipt checks once you're live

We check that your receipts come back Valid on the FDMS portal and that each fiscal day closes. When a receipt shows Red or Grey, we find the cause in your system before the errors pile up.

  • Integration for software vendors

We build the FDMS layer into your POS, invoicing or accounting product: device registration, signed receipts, fiscal day open and close, and an offline queue. It runs on zimra-fdms, the open-source TypeScript library we maintain.

What happens after you get in touch

  1. 1

    Tell us your setup

Tell us how you keep your books, how many tills you run and the system you invoice from. We reply with a fixed quote in US$.

  2. 2

    Get ready for ZIMRA

We catch up your books and take a virtual fiscal device through ZIMRA's tests. Hardware suppliers test their own devices.

  3. 3

    Go live

Once ZIMRA approves, your device goes live on FDMS and every receipt carries a QR code. We file the returns that are due.

  4. 4

    We keep checking

Each month we keep your books, file returns and check receipts on FDMS, and we flag problems before your tax clearance.

Questions before you start

What does the monthly accounting include?

It covers your bookkeeping and bank reconciliation, a monthly profit and loss and balance sheet, and your VAT, PAYE and NSSA returns. We also work out each QPD and file your annual income tax return. If your books are behind, we catch up the missing months first and quote for that work separately.

How do you charge for accounting?

We charge a fixed monthly fee in US$, set by how many transactions you have each month, how many people you pay and whether you're registered for VAT. You get the fee in writing before we start, and we quote fiscalisation work on its own.

What do you need from us?

Each month we need your bank statements, sales invoices or till reports, supplier invoices and the month's payroll. To start, we also need your last returns, your ZIMRA registration details and any letters ZIMRA has sent you. Photos or PDFs on WhatsApp or by email are fine.

Can you get our tax clearance back?

We can file the returns that are behind and sort out the fiscalisation side, two of the usual hold-ups. ZIMRA also wants your tax paid or a payment plan agreed, and your details on its system up to date. We tell you which of those is still open.

Do we have to fiscalise?

Every VAT-registered business has to fiscalise each point of sale, and ZIMRA's fiscalisation page says businesses below the US$25,000 VAT threshold must too. If you don't, ZIMRA can charge US$25 a day for each point of sale, and continued default becomes a criminal offence. Your VAT-registered customers also can't claim input tax on invoices FDMS hasn't validated.

Our receipts show Red or Grey on the portal. Can you help?

Yes. Red or Grey means FDMS found a problem with the receipt, such as a counter, a date or a signature that doesn't match. Some Red errors stop the fiscal day from closing, and then only ZIMRA can close it. We find the cause in your system, fix it, and prepare what ZIMRA needs to close the day.
